What is a birthday email campaign?
A birthday email campaign is a message, or a small set of messages, sent around a customer’s birthday to recognize the relationship and explain a relevant offer. It can be a simple greeting, a marketing promotion or a notification that a membership reward has been issued.
Those messages have different jobs. A greeting does not need a discount. A promotion must explain its conditions. A credit notification should confirm a reward that actually exists. Start with the customer’s next action, then choose the copy and sending rules.
The examples below are fictional teaching examples, not customer results or messages automatically installed by Memberply. Adapt the currency, dates, eligibility and links to your store. Choose the examples you need rather than sending all seven to every customer.

Audience: An active member in a tier that genuinely includes the stated reward.

6. A reminder with a real expiry
Audience: A recipient with a verified unexpired, unused birthday credit grant and appropriate messaging eligibility.

Choose the reward before writing the email

Birthday email subject lines that match the message
- Appreciation: “A birthday wish from our team” or “Wishing you a lovely birthday, Alex”.
- Issued credit: “Your birthday credit is ready” or “A $10 birthday thank-you”. Use the amount only when verified.
- Genuine promotion: “Your birthday offer is here” or “A birthday treat for your next order”. Explain conditions inside.
- Real deadline: “Your birthday credit expires on October 24”. Send only when the reward remains available.
Keep the promise specific. Avoid “free gift” if a purchase is required without making that condition clear. Use a friendly fallback if the first name is missing, and do not imply a personal message from the founder unless that is accurate.
Plan timing and stop rules
A single useful birthday message can be enough. Add a reminder only when it serves a real customer need and the necessary data is available.
- Before the birthday: confirm the date source and eligible audience. An optional birthday-month offer should begin only when its terms allow use.
- On the birthday: send a greeting or the appropriate reward message. For credit, wait for successful issuance rather than assuming a scheduled job succeeded.
- Before a real expiry: consider one reminder after checking the reward’s remaining value. Suppress it after redemption or expiry.
- After use: rely on the normal order experience unless a separate thank-you adds something useful.
Coordinate existing Memberply credit notifications with your email platform. Check time zones, missing birthdays, eligibility changes and overlapping promotions before activation. An external date-triggered flow does not automatically know that credit was issued.
Set up the reward and the email as separate decisions
- Configure the benefit. Choose the membership tier, enable Birthday Store Credit and set the amount and validity. Members provide their birthday in their account. Use Shopify’s new customer accounts and check the credit experience.
- Verify eligibility. Memberply’s birthday job checks active membership, an enabled benefit and birthday information, excludes paused benefit access, and checks its yearly gift record. Do not promise rewards to every subscriber on your mailing list.
- Understand the existing notification. After successful credit issuance, Memberply sends a credit email when an email address is available. Your custom campaign should complement that message without promising an exact delivery time or issuing a second reward.
- Verify external flow data. Klaviyo needs a birthday profile property for its birthday flow. Memberply’s documented sync supplies membership status and tier fields, not birthday dates, credit balances or redemption events. Verify a separate source before using these conditions.
- Preview and test the journey. Check a missing name, wrong account, changed tier, expired reward and already-used reward. Confirm links, displayed amounts and actual checkout behavior before launch.

Budget for redemption and measure useful outcomes
Illustrative example: issuing $10 to 100 eligible members creates $1,000 of credit grants. If 30 members redeem the full amount during your review period, $300 has been redeemed and $700 remains outstanding before any other adjustments. Outstanding credit may still be used later.
For one $50 order paid with $10 credit and $40 cash, assume $25 in product costs and $8 in shipping, fulfilment and payment costs. The simplified cash contribution is $40 minus $25 minus $8, or $7. This excludes tax treatment, overhead and other rewards. Do not subtract the same $10 credit again after already using cash collected.
Track issuance, delivery, redemption, resulting orders and contribution separately. An order after a birthday email is not necessarily caused by the email. Where practical, compare an optional promotional reminder with a similar eligible group that does not receive that reminder while still delivering promised membership benefits to both groups.

What should a birthday email say?
Start with a warm birthday wish, explain any genuine reward and give one clear next action. Include the amount, eligibility and expiry when relevant. A greeting without a discount is also a valid option.
When should I send a birthday email?
Send a greeting on the birthday, or introduce a birthday-month offer when it becomes available. Send a credit notification only after issuance succeeds. There is no universal best schedule; test timing with your audience and avoid overlapping messages.
Does a birthday email need a discount?
No. Appreciation, a relevant invitation or an existing membership benefit can be enough. Choose a reward you can afford and do not label an ordinary promotion an exclusive birthday gift.
Does Memberply send birthday store credit?
Memberply supports a configured birthday store-credit benefit for eligible active members who have provided their birthday. It issues the reward and sends a credit notification when an email address is available. Check the benefit configuration and customer account experience before launch.
Does Memberply sync birthdays and credit balances to Klaviyo?
The documented Memberply Klaviyo integration syncs membership status and tier information. Birthday, credit balance and redemption data are not documented synced fields. A custom birthday flow needs separate verified data for any of those conditions.
Can I send a reminder before birthday credit expires?
Only use a real expiry and verify that the relevant credit remains available. If your email platform cannot check the reward status, do not claim that a customer has unused credit. Avoid duplicating an existing reward notification.
