What is a Shopify trade account?
A trade account gives an approved business customer access to benefits you have defined, such as member pricing or products reserved for professionals. A trade account application collects the information your team needs to decide who qualifies before those benefits become available.
For a homewares store, that might mean checking a designer’s portfolio before granting a trade discount. For a beauty supplier, it could mean reviewing a salon’s business details before granting access to a professional product collection. The useful starting point is a clear eligibility rule, followed by a form that gathers evidence for that rule.
In Memberply, membership applications connect to a free or paid membership tier. Your team reviews applicants, and the tier determines the benefits they receive. A trade membership is not automatically a credit account: approval does not establish net payment terms, tax exemptions, or a lending arrangement.
Choose the right approval workflow
Decide whether you need membership access for individual Shopify customers or Shopify’s native B2B company structure. That choice affects where you review applications and how approved buyers receive access.
| Question | Memberply application | Shopify B2B company request |
|---|---|---|
| What receives access? | A Shopify customer connected to a Memberply membership tier. | A company and its associated buyers and locations. |
| What is the form for? | Qualifying customers for configured membership benefits. | Requesting access to native B2B purchasing. |
| What happens after review? | Free membership activation, or authorization to pay for a membership. | The merchant reviews the company and grants ordering permissions. |
| Where should I start? | Define the tier, benefits, questions, and approval criteria. | Check Shopify B2B availability and company account request requirements for your store. |
Shopify documents a separate company account request flow using Shopify Forms. It creates company records for review. If you need company locations, catalogs, or other native B2B settings, review Shopify’s B2B feature guidance before choosing your setup. Memberply approval does not create those company records.
Wholesale application form: questions you can adapt
Keep the first application focused on what changes your approval decision. A website or portfolio can answer more useful questions than a long mandatory business biography. Ask for additional information during review when the initial answers are incomplete.
The following is an original planning template, not a live application form. Required and optional suggestions are starting points; adjust them to your program.
| Field label | Suggested requirement | Why ask? |
|---|---|---|
| Contact name and email | Required | Identify the person applying and the account that will receive access. Memberply requires an email field. |
| Business name | Required | Understand which business the applicant represents. |
| Website or portfolio URL | Required if central to eligibility | Review the applicant’s work, products, or professional activity. |
| Business type | Required | Use options such as interior designer, retailer, salon, or another relevant category. |
| How will you use our products? | Required | Distinguish professional use, resale, client projects, and personal purchases. |
| Country and service area | If relevant | Check whether you can serve the applicant’s location. |
| Expected purchasing range | Optional | Plan account support without treating an estimate as a purchase commitment. |
| Business identifier | When relevant | Support your business review. Australian stores can use the ABN field. |
| Agreement to program terms | Required for your chosen terms | Make eligibility and benefit conditions clear before submission. |
Memberply supports text, email, phone, website, address, selection, and consent fields. Use help text to explain what each answer should contain. For example, “Link to a recent project or your business website” is more specific than “Evidence.” The current form builder does not include a file-upload field; request a portfolio URL when a link is sufficient.
Build a review process your team can repeat
Before publishing, write down who qualifies, which evidence is sufficient, and who will review the inbox. Separate business identity from program fit: a registered business might still fall outside your target profession or service area.
Review the business and intended use
Compare the answers with your eligibility rules. Check that the website, business name, and stated activity make sense together. Record a private note when context will help another reviewer.
Resolve missing information
Use Request information when an answer needs clarification. Explain what is missing. Keep the applicant’s next step specific instead of asking them to start again without guidance.
Approve or reject against the same criteria
Review applications in Applications > Inbox. Memberply records decisions and status history. Approval processing must complete before a free membership becomes active or a paid applicant receives purchase authorization.
Check that access matches the decision
Confirm the intended membership tier and benefits. Rejected or needs-information applications can be approved later. Once membership is active, manage access from the Members page.
For Australian stores, an ABN field validates the number’s structure. When Memberply’s official ABN Lookup connection is enabled and available, registration details can support review. An unavailable result or a name mismatch needs attention; an active ABN does not prove that someone qualifies for your trade program. See ABN verification guidance.
Free trade access or payment after approval?
| Program | After approval | Benefits begin |
|---|---|---|
| Free trade membership | Memberply creates or matches the Shopify customer and activates the connected tier. | When approval and activation processing completes. |
| Paid trade membership | The approved customer signs in and purchases the authorized monthly, annual, or one-time membership. | After Shopify confirms successful payment. |
A free program can make sense when the commercial relationship is built around product purchases. A paid program needs a clear explanation of the membership fee and ongoing value. Model the discount and service costs before deciding which structure fits.
Paid approvals apply to the exact customer, application, and tier. Memberply’s checkout protection checks the approval, so forwarding a private purchase link does not authorize another buyer. The private link does not itself activate benefits. Read the payment-after-approval workflow for setup and testing.
You can set an optional deadline for an approved applicant to complete payment. If it expires unused, the application becomes Approval expired and its purchase permission is removed. For a strictly vetted paid program, leave scheduled open enrollment unset: during an open enrollment window, customers can purchase that tier without an application approval.
How to set up trade account applications in Memberply
Create the membership tier and benefits
Choose a free or paid tier, then configure the benefits approved customers should receive. Possible benefits include member discounts and exclusive product access. Test their scope with the products your trade customers actually buy.
Create the application form
Open Applications under Membership, select Application Forms, then New Application Form. Name the program, choose the connected tier, and add introductory and submission-confirmation content.
Add your eligibility questions
Use the Form Builder to choose field types, labels, required fields, and help text. Check data mappings for details such as contact name and business name. Enable store submission notifications if your team wants an inbox prompt.
Review messages and publish
Save the form and review its Emails tab using the on-screen previews. Make sure the enabled messages explain submission, requests for information, approval, and activation clearly. Publish the program when it is ready.
Add the form to your storefront
Copy the Storefront program ID. In the Shopify theme editor, open the application page, add the Membership application app block, paste the ID, and save. Link that page from your store’s trade program information.
Test approval and access
Submit an application and review it in Applications > Inbox. For paid tiers, add the Subscription Details app block to the membership product template and confirm checkout protection is ready. Use a development or staging store with test payments to verify the full paid flow.
Follow the complete application program setup instructions for the current settings. Before launch, check a pending applicant, an approved customer, and a different signed-in customer. Verify that only the intended customer receives the configured access.
Three trade program examples
These fictional examples illustrate program design, not customer results or promised revenue.
| Program | Evidence to review | Possible member benefit |
|---|---|---|
| Interior designer trade program | Studio website, portfolio, and use on client projects. | A configured member discount on eligible homewares. |
| Professional beauty program | Salon details, services offered, and intended product use. | Access to a configured professional-only product collection. |
| Independent retailer program | Store website, business details, and resale plans. | A base member discount, with higher benefits at eligible spend thresholds. |
Keep entry criteria separate from rewards after entry. An application determines who joins; a spend threshold can determine what an active member earns later. Our tiered loyalty program guide explains annual and lifetime spending rules. For access options, compare member discounts and exclusive products.
Measure the application process after launch
Review submission volume, time to decision, requests for more information, and the share of approved paid applicants who complete payment. Compare activated members’ purchasing and benefit costs over a consistent period. These are useful measures to calculate from your available records, not a claim that Memberply provides a dedicated trade analytics dashboard.
If many applicants need the same clarification, improve that field’s label or help text. If paid applicants stop after approval, review whether the fee and benefits were clear before they applied. A consistent process should help your team make decisions and help qualified customers understand their next step.
Trade account application FAQs
What is a trade account on Shopify?
A trade account is an approved customer relationship that provides business buyers with agreed benefits, such as member discounts or restricted products. In Memberply, access is managed through a membership tier. It does not automatically create a Shopify B2B company or provide credit terms.
What should a wholesale application form include?
Start with contact name, email, business name, website or portfolio, business type, intended use, and agreement to program terms. Add purchasing expectations or a business identifier only when they help your team decide eligibility. Explain who qualifies and what happens after submission.
Can I approve applicants before they pay?
Yes. A Memberply application can connect to a monthly, annual, or one-time paid membership tier. Applicants submit the form first. After approval, the authorized customer signs in and completes payment. Benefits activate after payment succeeds.
Can an approved trade membership be free?
Yes. Connect the application to a free Memberply tier. Once approval processing completes, Memberply activates the membership and applies its configured membership tags and benefits without requiring a membership payment.
Does Memberply create Shopify B2B company accounts?
No. Memberply applications create or match a Shopify customer and connect approved applicants to a Memberply membership tier. Shopify native B2B company account requests are a separate workflow for companies and company locations.
Can I verify an Australian Business Number?
Australian stores can add an ABN field and enable program verification. The field validates the number structure. Registration checks depend on Memberply’s official ABN Lookup connection being enabled and available. Your team still decides whether the applicant qualifies.
What happens if a paid applicant does not complete payment?
The application remains approved and awaiting payment until payment succeeds, the decision is changed, or an optional approval expiry is reached. An expired approval loses its purchase authorization. Approval alone does not activate paid membership benefits.
